Wow I can’t believe it is September… where did the Summer go. Today we’re going to talk some more about getting your first tutor student (part 6 of a seven part series). We’ve talked about a bunch of different stuff over the past few days. Hopefully you’re starting to get a plan. Let me remind you though it does no good to read what we’ve been talking about… you must DO IT. We talk some about goals in our tutor guide and if you want to really build your business, you should be doing something EVERY DAY to build your business. Even if it is something small. If you do that by the end of the year you’ll have done 365 different things to grow and build your business.
We LOVE helping people. Hopefully you understand that by now. If you have any questions or get stuck, even if you don’t buy anything from us, please don’t hesitate to put a comment below or you can use facebook to send us a comment (or if you found this in your email you can just hit reply and your question will get to us). We’ll generally answer within a day or two… weekends we’re a little slower sometimes.
We said today we would talk about helping you create a client sheet. You can create this client sheet however that you want to – I usually do them in Word first and then transfer some of the items to a spreadsheet. With the client sheet you will want to create a follow up sequence of contacting them (even if they don’t sign up with you).
On your sheet you’ll want the following –
During the initial phone conversation / contact
Contact Number – this is just an internal number that helps me with filing – I started at 0001 and went from there. In my filing cabinet the no files go in a drawer – using numbers instead of their last name or alphabetically.
Name –
Phone –
Email Address – ask them to spell it out and you spell it back to them to ensure that it’s correct.
How they found you – you want them to be as specific as possible. If they saw you on a bulletin board, ask them which one. If they found you on the internet / where exactly. Did someone recommend you then you’ll want to know exactly who. Then ask them how to contact them, just tell them you want to thank them and add their contact information to the contact to do list.

School –
Subject they need help with –
Teacher’s Name –
Now you’ll give them your sales pitch – or if you aren’t tutoring that subject or grade you’ll let them know.
Tutor Interview Y / N
If it’s a no you’ll want to put the reason – if you’re tutoring High School math and they are in the 6th grade you’ll want to put something in their file and you’ll want to make sure you note to follow up with them when they’re getting ready to be a freshman.
If they did agree on the tutor interview you’ll want to note:
When the interview is –
During the interview you’ll be doing questions and answers – after the interview you’ll want to take some notes on how the interview went, you’ll want to note things you did well, and things you did poorly.
If they become a student of yours this will be the first page in hopefully a big file. You’ll want to keep all their testing, notes, things you did during the session in this file so you can pull it out when you review things with the parents.
If you got a no during the phone interview or ‘real’ interview you’ll want to make sure and mail them a post card, thank them for giving you the privilege of speaking with them. Remind them if they know of anyone that needs help with High School Math, give you a call. You’ll want to make sure you have your contact information on the post card. Remember you’re building a business. The nicer you are to people the more likely they’ll remember you.
